A family business based in a village on the outskirts of suffolk is looking to appoint a contract support administrator to join their small but growing team.

You will working in the busy administration department where you will work closely with divisional managers to ensure the companies divisional operation is well supported.


To work under the direction of the Divisional Manager using your own initiative and with a proactive approach, to ensure the Divisional operation is supported with clear client, employee and profit focus.

Financial Responsibilities

Support the DM with retrospective job costings when required.
Complete accounts tasks such as invoicing and payments received for contracts and individual jobs.
Proactively resolve and identify queries in your WIP to ensure jobs/files are closed without delay.
Chase outstanding quotations with clients when instructed by the DM.
Identify and forward any commercial opportunities to the DM.
Commercial Responsibilities

Full understanding of what we can and can’t do within the scope of the contract.
Responsible for ensuring all KPIs and SLAs are met and report any non-conformities to the DM.
Understand and interpret the customers and contracts.
Compile and send weekly reports to DM for outstanding quotations.
Maintain stock levels within the CRM with support from DM and raise purchase orders against specific jobs or stock when requested.
Liaising with clients and engineers to book in appointments/jobs with site to undertake the required works.
Maintain the services diary on a continuous basis.Creating enquiry files and logging information within the CRM database.
Skills & experience required:

Sufficient IT skills to allow the operation and development of the company using a range of computer programmes. These will predominately be Clik4 CRM, Causeway Vehicle Management System, a compny bespoke Web based portal system and MS core programmes to include Word, Excel, Outlook and PowerPoint.

High level of communication skills to enable a high quality of service to clients, suppliers, subcontractors and any other organisation that may be involved in the service delivery process.

Communication will be face to face, telephone, electronically via email or in writing.

Task and time management skills are crucial in delivering our services within the KPIs.
